How to Report Sponsorship Delivery and Prepare for Renewal
A sponsor report shows what was promised, what was delivered, with evidence, and what the partnership achieved against its objective. Prepare it promptly and use it to open the renewal conversation.
A sponsorship report should set out what was promised, what was delivered and the evidence for each item, then show what the partnership achieved against the sponsor's objective. Send it promptly after the event and use it as the starting point for a renewal conversation. A clear, honest report is often what turns a one-off sponsor into a long-term partner.
For event owners and cultural platforms in Ghana, reporting is frequently left until the next sponsorship request. Planning it from the start makes it easier and more credible.
Plan reporting before the event
When the agreement is signed, list every deliverable and decide how you will capture evidence. Assign someone to collect photographs of branding, screenshots of posts, recordings of mentions and attendance data as the event happens. Evidence is much harder to gather afterwards.
Structure the report
A useful report includes:
- Summary: the partnership's objective and a short overview of results
- Delivery against agreement: each promised benefit, whether it was delivered and the evidence
- Audience: attendance, registrations and audience information, with sources
- Visibility and content: branding photographs, social posts and their reach, media coverage
- Activation results: sampling numbers, participation, leads or other activation outcomes
- Feedback: responses from attendees and partners where relevant
- Lessons and recommendations: what worked and what could improve
- Next steps: dates for the next edition and opportunities to continue
Be honest about gaps
If something was not delivered as promised, say so and explain why. Offer a remedy where appropriate. Sponsors notice omissions, and acknowledging them protects trust.
Similarly, be careful about claims. Present audience figures with their source and period, and avoid combining social followers across platforms as if they were unique people.
Connect results to the objective
Relate the results to what the sponsor wanted to achieve. If the objective was product trial, lead with sampling numbers. If it was association with a cultural platform, lead with content and audience response. Generic numbers are less persuasive than evidence linked to the sponsor's purpose.
Send it promptly
Aim to send the report within a few weeks of the event, while the experience is fresh and before the sponsor's next budget decisions. Offer a meeting to discuss it.
Prepare for renewal
Use the report to open a conversation about the next edition. Ask what the sponsor valued and what they would change. Propose improvements based on what you learned. Early conversations give brands time to include the partnership in their plans.
Our Konnected Minds Live 2026 work included sponsorship strategy, tiered partnership packages and outreach, and our Black Star International Film Festival work included developing strategic partnerships and sponsorships for sustainable growth.
