How to Plan Event Registration and Check-In
Keep registration short and mobile-friendly, confirm instantly, collect only the information you need, and plan check-in staffing and flow for the busiest arrival period, not the average.
Plan event registration so it is short, works well on a phone, confirms instantly and collects only the information you need. Plan check-in for the busiest arrival period rather than the average: enough staff and desks, a clear process for different guest types and a fallback if technology fails. The first and last minutes of the guest journey shape how people remember the whole event.
For organisers in Ghana, registration is also the start of a relationship: the information collected supports reminders, follow-up and future events.
Design the registration form
Ask only what you will use. Name, email or phone, and one or two questions relevant to the event are often enough. Add a "How did you hear about us?" question to learn which channels work. Explain how personal data will be used and handle it responsibly; Ghana's Data Protection Act, 2012 (Act 843) applies to organisations processing personal data.
Make it work on a phone
Most people will register on a phone. Test the full journey, including payment for ticketed events, on a mid-range phone with a normal connection. Remove unnecessary steps.
Confirm instantly
Send a confirmation immediately with the event name, date, time, venue, entry requirements and a contact for questions. Include a calendar link and, where used, a QR code or reference for check-in.
Plan reminders
Registration is not attendance. Plan reminders at useful moments with practical information. See how to improve attendance after people register for your event and how to use WhatsApp for business communication in Ghana.
Separate guest types
Speakers, VIPs, media, sponsors, exhibitors and general guests often need different arrival arrangements. Plan separate lists, and where numbers justify it, separate desks or entrances. Brief staff on how to identify and direct each group. See how to plan protocol for events with dignitaries.
Staff for the peak
Most guests arrive in a short window. Estimate peak arrivals and plan enough desks and staff to keep queues short. Open registration early and consider pre-printed badges for registered guests.
Choose the check-in method
Options include printed lists, QR code scanning, a check-in app or a combination. Whatever you choose, test it in advance, make sure the venue's internet and power support it and have a printed backup list.
Plan for walk-ins and problems
Decide in advance how to handle unregistered guests, name mismatches, lost confirmations and capacity limits. Give one experienced person authority to resolve issues quickly.
Use what you learn
After the event, compare registrations with attendance, note peak arrival times and review where the process slowed. Use the "How did you hear about us?" answers to plan future promotion.
Our Women of Valour case study reports 3,550 registrations for the 2023 event against a target of 1,200. At that scale, registration design and arrival planning matter as much as promotion.
