How to Plan a Film Premiere Event
A film premiere should introduce the film to the people who can help it find an audience: press, partners, community and early viewers. Plan the guest list, arrivals, screening, media and follow-up around that purpose.
A film premiere should introduce the film to the people who can help it find its audience: journalists and critics, partners and sponsors, the cast and crew, community leaders and early viewers who will talk about it. Plan the guest list, arrivals, media opportunities, screening quality and follow-up around that purpose, and make sure guests leave knowing where and when others can watch the film.
For filmmakers and production houses in Ghana, the premiere is one moment in a wider release. It should support the campaign, not replace it. Our founder makes that case in why Ghanaian films need a marketing strategy from the start.
Define what the premiere must achieve
Decide the main purpose: media coverage, partner relationships, word of mouth, ticket sales for the opening run or a combination. The purpose shapes who you invite and what the evening includes.
Build the guest list
Typical premiere guests include:
- Entertainment journalists, critics, presenters and creators
- Distribution and exhibition partners
- Sponsors and funders
- Cast, crew and their guests
- Community leaders and organisations connected to the story
- Selected audience members who represent the film's first audience
Balance the list so the room includes people who will write, share and recommend.
Choose the venue
The venue must deliver excellent picture and sound, comfortable seating and space for arrivals and media. Test the projection and audio with the final screening copy well before the night. See how to choose a venue for an event in Accra.
Plan arrivals and media
A clear arrivals area with a branded backdrop gives photographers and video crews usable images. Plan a press line where cast and director can give short interviews. Brief them in advance; see how to prepare a spokesperson for a media interview. Provide journalists with a press kit, stills and the trailer by link.
Write the run sheet
Plan the evening minute by minute: arrivals, media, seating, introductions, screening, any discussion and the reception. Assign owners for each part. See how to write an event run sheet.
Plan protocol and hospitality
If officials or diplomats attend, plan seating, introductions and arrival arrangements carefully. See how to plan protocol for events with dignitaries.
Involve partners appropriately
Sponsors may want visibility or hospitality at the premiere. Agree what they receive in advance and make sure it supports, rather than distracts from, the film. See how to activate a sponsorship on site.
Capture the night
Brief a photographer and videographer on the moments you need: arrivals, audience reactions, cast with guests and the discussion. These assets will promote the film's release. See how to plan event photography and video coverage.
Make the next step clear
Guests should leave knowing where the film will screen next, when it is available and how others can book. Share this in the programme, on screen and in follow-up messages.
Follow up
Send thanks, approved images and screening information to guests and media the next day. Share audience reactions in the release campaign. See what to communicate after an event ends.
