How to Brief an Event Agency for a Conference or Launch

A useful event brief explains the purpose, audience, format, date, budget, responsibilities and measures, and says clearly what you want the agency to propose. It saves time for both sides.

An event agency brief should explain the event's purpose, the audience, the preferred format, the date and location, the budget and who is responsible for what. It should also say how success will be measured and what you want the agency to propose. A clear brief produces proposals you can compare and reduces costly changes later.

For organisations in Ghana planning a conference, product launch or similar event, the brief is the foundation for every decision the agency makes.

Purpose

State what the event must achieve. A conference might aim to position the organisation as a convener in its sector, generate leads or build a professional community. A launch might aim to introduce a product to media, partners and customers. The purpose shapes the programme, the guest list and the experience.

Audience

Describe who should attend, how many, and what they need from the event. Include any priority guests, such as speakers, government officials, partners or media. Note accessibility needs if known.

Format and content

Describe the format you have in mind, such as a full-day conference, an evening launch, a hybrid event or a series, and any confirmed programme elements. If you are open to suggestions, say so.

Date, location and logistics

Give confirmed or preferred dates and any fixed constraints. Say whether a venue is already booked or whether you need the agency to find one. Include the city and any location preferences.

Budget

Give a budget range and say what it must cover. Separate the agency fee from production, venue, catering, speaker and marketing costs if you can. Without a budget, proposals can be difficult to compare.

Responsibilities

Be clear about who does what. The agency might handle concept, programme, venue, production, guest management, marketing and on-the-day delivery. Your team might handle the guest list, speakers or sponsorship. Name the people who approve decisions.

Brand and communication requirements

Share brand guidelines, key messages, partner logos and any approval processes. Explain how the event connects with other communication, such as a press announcement or campaign.

Measures

Agree how success will be judged: attendance from the target audience, sign-ups, sales leads, media coverage, partner satisfaction or guest feedback.

What you want back

Tell the agency what to include in its proposal: its understanding of the brief, a concept, a programme outline, a timeline, a budget breakdown, the team and relevant experience. Give a deadline and a contact for questions.
